14.2.2 Member Name/Member ID

You are asked for the member name or member ID.

Enter the member's name or ID.

After the member's name or ID is entered, the member data is displayed.

General Alert Notes

If there are any general alert notes for this member, you are asked if you want to view these notes.

Select "Yes" if you DO want to view the general alert notes.

Select "No" if you do NOT want to see the general alert notes.

If "Yes", the general alert notes are displayed.

14.2.3 Selecting Data to Change

After the member data is displayed, you can start changing the information.

If, for example, you want to change the middle name, you do NOT have to press [Enter] through numerous items to get to the middle name field. You can display a list of fields, select "Middle Name", and make the change.

To get a list of the fields that can be changed, press the [Select] key. A menu list of the fields is displayed. For example:

The other fields that can be changed, are displayed when you arrow over.

If you select "Middle Name" from the list, the "Middle name?" prompt is displayed and you can press [Enter] to accept the current data or make a change by typing over the current data.

After you accept or change the "Middle name" data and press [Enter], you are placed at the next field's prompt. If you want to make a change to a different field, press [Select] and the menu of field names will be displayed again. You can then select another field to change.

Note

If you need help in changing data, you can press the [Help] key to get information on the data item, or refer to Section 12.2, New Member Input Prompts, to get detailed information on any of the data items.

After you have completed all the changes, you can press the [Do] key. When you press the [Do] key, the last prompt which is "Change this record", is displayed.

Select "Yes" to actually change the member record.

Select "No" to go to the last field that can be changed.

To abort this change, press <ESC>.

If you select "Yes", the record is changed, and a menu bar of options is displayed at the bottom of the screen.

14.2.4 Bar Menu Options

If member data is changed, the following bar menu is displayed:

The menu options are:
  Next Member return to the member ID prompt to maintain another member's data
  Notes review and/or maintain the member's notes
  Alt Contact add or update additional phone numbers and/or alternate contact information
  Mbr Inquiry do an inquiry on this member
  Exit exit the member maintenance procedure and return to the member processing menu

Select one of the menu options.

Note: For detailed information on member notes, you can refer to Chapter 17, MEMNOTES - Member Notes.


Chapter 15
IDCHANGE - Member SSN/SIN Change

The member SSN/SIN change procedure is used to change a member's social security or social insurance number. When a member's SSN/SIN is changed, all records associated with the member (notes, history, etc.) are also changed to reflect the new SSN/SIN number.

The member SSN/SIN change information is entered using this procedure. The SSN/SIN is not actually changed at this time, but is changed during the nightly batch run.

To enter the information on a SSN/SIN change, select the IDCHANGE menu option.

15.1.1 Member SSN/SIN Change Prompts

The following sections describe each of the member SSN/SIN change prompts.

Note: Unless specifically specified, you can enter data in upper, lower or mixed case.

To exit at any time, enter EXIT or press <ESC>.

To return to a previous prompt, press <F2>.

To get help for any menu item or input prompt, press the [Help] key or <F1>.

Old Member Name/ID

You are asked for the old member name or member ID.

Enter the member's name or ID.

After the name or ID is entered, the member name, current SSN/SIN and affiliate ID are displayed.

New Country

You are asked for the new country name. The country is required data.

The current country is displayed as the default.

If the country is correct, press [Enter] to accept the default, or enter a country name.

New Member SSN/SIN

You are asked for the NEW social security number, or new social insurance number.

   Enter Member SSN/SIN or Enter 'GENERATE' if the Member SSN/SIN is Not Known 

If this is a US member, enter all digits of the new social security number (SSN). If this is a Canada member, enter all digits of the new social insurance number (SIN).

Enter only digits. Do NOT enter dashes or spaces.

If the entered SSN/SIN already exists, a message is displayed. If an entry has already been input for this SSN/SIN change, a message is displayed.

Note: You should only generate a new SSN/SIN number if the SSN/SIN is unknown.

Reason for SSN/SIN Change

You are asked for the reason the old SSN/SIN number is to be changed.

Chapter 16
MOVEWALKIN - Move Walk-in to Member

The MOVEWALKIN - Move Walk-in to Member menu option is used to move persons who have a current classification of WALKIN or WALKAPP to a membership classification.

The MOVEWALKIN procedure changes the walk-in's status to DROPPED, and then allows the walk-in to be re-initiated as a member.

16.2 Prompts and Responses

The following sections describe the prompts and responses entered when a walk-in is moved to a membership classification.

Affiliate ID

You are asked for the affiliate ID.

Note: If you are a local affiliate user, the affiliate ID and name are displayed, and this prompt is skipped.

You can enter the affiliate number which is a number from 1 to 99999, or enter the entire affiliate ID.

After the affiliate ID is entered, the affiliate name is displayed.

Branch ID

You are asked for the branch ID. This is the ID of the branch the member is associated with.

Note: The branch ID is not asked if the affiliate does not have branches.

You can make changes to the data that was originally entered for this walkin. Each data item is displayed, and you can press [Enter] to accept the current default data, or update the information.

If you need help on any input item, you can press the [Help] key to get information, or refer to Section 12.2, New Member Input Prompts, for detailed information on data items.

The following sections describe data that is input specifically for moving walk-ins to membership classifications.

Re-initiation Date

As you proceed through the data items, you will come to the prompt which asks for the re-initiation date.

Enter the date in the format MMDDYYYY.

The date must be a valid date that is today or prior to today, and it must be the same or after the current status date

Initiation Fee Dispensation

If the system finds an open General Office initiation fee dispensation, you are asked if the member is to be initiated under this dispensation.
