17.2.3 Adding Member Notes

When you enter ADD at the command prompt, the following is displayed:

                         Press F12/Do Key When Finished 

The week day, current date, and user name are displayed. This information becomes part of this note. Later, when you want to review or change this note, the date, user name and note text will be displayed.

Type in the text that you want to enter in this note. When you get to the end of a line, you can just keep typing. The note process will automatically move the cursor to the next line when a word cannot fit on the current line.

If you press the [Enter] key when entering note text, the cursor is moved to the next line.

While you are typing note text, if you need to go back a line or two and change, delete, or add some text, use the arrow keys to move to the line and location that you want to change or where you want to add text. Use the delete key to delete characters. As characters are deleted, the note process moves the text so there are no blank spaces. To add words, just type in the words, and the note process will automatically move the text appropriately.

When you have completed typing the note text, press the [Do] key.

Here is an example of typed note text BEFORE the [Do] key is pressed:

This is a note for Mr. Van O'Smith.  When I get to the end of this line, I will

Type of Note

After a note is added, you are asked what type of note it is.

Select "Regular" if the note is NOT a financial or general alert note.

Select "Financial Alert" if the note is a financial alert note.

Select "General Alert" if the note is a general alert note.

If the note is a financial alert note, the note is displayed with the words "FINANCIAL ALERT" at the beginning of the note. For example:

  FINANCIAL ALERT: Bob Batter's dues payments come from employer who only sends 
  check each quarter. 

If the note is a general alert note, the note is displayed with the words "GENERAL ALERT" at the beginning of the note. For example:

  GENERAL ALERT: This member belongs to local 1444 but often does work at other 
  locals. He will probably have numerous travel cards issued. 

After you enter a note, you are asked for the next command. At this point, you can add more notes, change current notes, etc.

17.2.4 Changing Notes

Every member note has a unique number. If you want to change a note, enter the number of the note you want to change. For example:

       Enter ADD, note # to edit, NEXT, PREVIOUS, FIRST, LAST, DELETE, EXIT 

After you enter the member note number, the note is displayed and the cursor is placed on the first character of line 1 of the note.

If you want to add text to the note, use the arrow keys to position the cursor at the end of the note text. The cursor will stop when it reaches the end of the note text. Type in the text you want to add to the note.

You can also delete text, and insert new text while you are changing the note. Use the arrow keys to move around in the note.

When you have completed changes to the note text, press the [Do] key. This will save the changed note, and you will be asked for the next command.

After a note is changed, you are asked for the note type.

17.2.5 Deleting Notes

If you want to delete a member note, enter "DELETE" at the "Command" prompt.

       Enter ADD, note # to edit, NEXT, PREVIOUS, FIRST, LAST, DELETE, EXIT 

After you enter "delete", you are asked for the number of the note that you want to delete.

Enter the number of the note that is to be deleted.

You are then asked if you are sure that you want to delete this note.

Select "Yes" if you are sure you want this note deleted.

Select "No" to keep this note.

If "Yes", the note is deleted. If there are notes having note numbers greater than the deleted note, those notes will be re-numbered.

ALTCONTACT - Alternate Contact Maintenance

The ALTCONTACT - Alternate Contact Maintenance menu option is used by affiliates to add and maintain additional contact information for members.

The alternate contact information can include: other phone numbers, cell phone numbers, email addresses, Fax numbers, and pager numbers.

A member can have multiple alternate contact records. For example, a member could have entries for PAGER, CELL PHONE and EMAIL, or the member could have 3 different PHONE entries.

This chapter describes how to enter and maintain alternate contact information for members.

18.1 Alternate Contact Maintenance Input Screen

After you select ALTCONTACT from the menu, the member alternate contact maintenance input screen is displayed.

The following sections describe each of the member alternate contact maintenance input prompts and responses.

Member Name/Member ID

You are asked for the member name or member ID.

Enter the member's name or ID.

After a member name or ID is entered, the member's ID, name and some member information are displayed.

18.2.1 Adding Alternate Contact Information

After you enter a member name or ID, the following screen is displayed:

You are asked for the type of contact information you are going to add.

Select one of the types from the menu.

Note: You can add information for any or all of the communication types. You can also add multiples of any of the types, except for EMAIL. The member can only have one Email address.

For example, a member could have entries for PAGER, CELL PHONE and EMAIL, or the member could have 3 different PHONE entries.

Alternate Contact

You are asked for the alternate contact. This is the phone number, email address, cell phone number, etc. that you want to add.



 ADD: Phone (numbers only)? __________ 

Enter the alternate contact information.

Information/Text

You are asked for information regarding the alternate contact.



 ADD: Information/Text About Contact? ________________________________________ 

Enter the alternate contact information/text.

You can enter up to 50 characters of free-form text.

Order Number

You can specify which alternate contact number/type should be called first, second, etc.

You are asked for the number you want to assign to this contact item.



 ADD: Order to use? ____ 
 
                          Enter an Order Number, if Any 

Press [Enter] to skip this prompt, if you do not want to enter an order number.

Enter any number from 1 to 99.

Add Information

After you have entered the alternate contact information, you are asked if you want to add this data.

Select "Yes" to add this alternate contact information.

Select "No" to return to the previous prompt.

Press <ESC> to abort this entry process.

If "Yes", a record is added for this alternate contact data.

18.2.2 Changing Alternate Contact Information

To change alternate contact information for a member, enter the member's name or ID.

After you enter the member name or ID, the current alternate contact information is displayed.

Select Option

Select the "CHANGE" menu option to make changes to current alternate contact information.

After you select an alternate contact item from the menu, you can change any or all of the data fields.

After you finish your changes, you are asked if you actually want to change the information.

Select "No" to return to the previous prompt.

If "Yes", the record is updated with the new alternate contact data.

18.2.3 Deleting Alternate Contact Information

To delete alternate contact information for a member, enter the member's name or ID.

After you enter the member name or ID, the current alternate contact information is displayed.

Select Option

Select the "DELETE" menu option to delete current alternate contact information.
