56.2.1 Output Options

After you select the members you want to work with, you are asked what you want to do with the member data.

Select "Report" if you want to create a report using the selected data.

Select "Create Labels" if you want to create labels for the selected members.

Select "finished with outputs" if you are finished working with the selected member data.

Sorting the Data

After you select the "Report" option, you are asked how you want to sort the member records for the report.

Note: For non-local users (i.e. council, etc.), if more than one affiliate is being reported on, the report data can be sorted by affiliate ID. The sort prompt will appear as:

Select "none" if you do NOT want to sort the selected member data.

Select one of the sort options.

If you select one of the sort options, you can select a second sort option. For example, you might want to sort by initiation date and name.

Report Title

You are asked for the report title. The title can be 2 lines. The title is not required.

You are asked for the first line of the report title.

The title can be up to 50 characters in length.

If you enter data at the report title prompt, you are asked for the second line of the report title.

Enter the second line of the report title, or press [Enter] to skip this prompt.

Report Type

You are asked for the report type. You can create a standardized report or a customized report. The "Custom Report" option allows you to select the data that you want to include on the report.

Select "Standard Report" to create a standardized report.

Select "Custom Report" to customize the report.

56.3.1 Standard Report

The following prompts are displayed when you create a standardized report.

Birth Date

You are asked if you want to print the birth date on the report.

Select "Yes" if you do want to print the birth date on the report.

Select "No" if you do not want the birth date printed.

Alternate Contacts

You are asked if you want to include alternate contact information on the report.

Select "Yes" if you do want to include alternate contact information.

Select "No" to not include alternate contact information.

If "Yes", alternate contact information will be included for those members who have alternate contacts.

Select "No" to return to the previous prompt.

The following prompts are displayed when you create a customized report.

Report Data Field Selection

After you select the "Custom Report" menu option, the following screen is displayed, and you are asked to select the data fields that you want to include on the report.

Select the data field items, one at a time, that you want to include on the report.

As you select each item, the report width and report fields information is updated. For example, after "Member Name" is selected from the menu, the screen shows:



 Report Width  : 11 
 Report Fields : Member ID 

You can create up to a 132 column report (i.e. report width maximum count is 132).

Select one or more of the report field items that you want to include on your report.

Select the "accept current default" item when you have completed your selections.

Use the "Remove Report Field" option if you want to remove a currently selected report field item.

Use the "reset" option if you want to erase your selections, and start over with the field selection process.

You can create a report using any of the following fields:

Member ID
Member Name
Nickname
Local Number
Class
Craft
Status
Current Status Date
Dues Code
Dues Paid Thru Date
Number Arrears Months
Current Balance
Length of Service
Initiation Date

Label Sort

Letter Sort

After you select the "Send Letter" option, you are asked how you want to sort the letters.

Letter Selection

You are asked which letter you want to send.

The list of letters that are displayed, are the letters you previously created and saved. You can refer to Chapter 131, AFFLETTERMN - Affiliate Letter Maintenance, for information on creating letters.
