The DATAREVIEW - Mass Data Review and Update menu option is used by the affiliates to update member data in mass --- i.e. one member after the other.
You select which members to update --- either active or inactive roster members. Data for each active or inactive member is displayed, and you can update the current data.
Note: Some data, such as financial information, can only be updated by override users.

This chapter explains how to update member data in mass.
136.1 Member Data Review Input Screen
After you select DATAREVIEW from the menu, the "member data review"
input screen is displayed. For example:

136.2 Member Data Review Prompts
Before the first member's data is displayed, you are asked which
members you want to review and optionally update.
136.2.1 Affiliate ID
You are asked for the affiliate ID.
Note: If you are a local affiliate user, you are not asked for the affiliate ID, the affiliate ID prompt is skipped.

If a default affiliate ID is provided and it is correct, you can press [Enter] to accept the default.
The affiliate ID is required. The affiliate must be active, and exist in the affiliate file.
You can enter the affiliate number which is a number from 1 to 99999, or enter the entire affiliate ID.
After the affiliate ID is entered, the affiliate name is displayed in the second heading line.
136.2.2 Selecting Members to Review/Update
You are asked which members you want to review and update.

Select "Active Roster" to review and update active members.
Select "Inactive Roster" to review and update inactive members.
After you select a member roster, the procedure selects the appropriate members and sorts them in alphabetical order by member name.
After the member records are selected and sorted, the first active or inactive member's data is displayed. For example:

136.2.3 Member Name/ID
You are asked for the member name or ID. The default is the displayed
member's ID. For example:

136.2.4 Selecting Data to Change
Note: If your local has gone through their first end
of month processing on ULTRA, certain data, such as financial
information, can only be changed by override users. Financial data can
be changed by using the payments/charges entry procedure.
After the member data is displayed, you can change one or more data items.
If, for example, you want to change the middle name, you do NOT have to press [Enter] through numerous items to get to the middle name field. You can display a list of fields, select "Middle Name", and make the change.
To get a list of the fields that can be changed, press the [Select] key. A menu list of the fields is displayed.

If you select "Middle Name" from the list, the "Middle name?" prompt is displayed and you can press [Enter] to accept the current data or make a change by typing over the current data.
After you accept or change the "Middle name" data and press [Enter], you are placed at the next field's prompt. If you want to make a change to a different field, press [Select] and the menu of field names will be displayed again. You can then select another field to change.
If you need help in changing data, you can press the [Help] key to get information on the data item, or refer to Section 12.2, New Member Input Prompts, to get detailed information on any of the data items. |
After you have completed all the changes, you can press the [Do] key. When you press the [Do] key, the last prompt which is "Change this record", is displayed.

Select "Yes" to actually change the member record.
Select "No" to go to the last field that can be changed.
If you select "Yes", the record is changed, and a menu bar of options is displayed at the bottom of the screen.
136.2.5 Bar Menu Options
If member data is changed, the following bar menu is displayed:

The MASSAC - Mass Area Code Change menu option is used to change the area code portion of member telephone numbers.
You are asked for the current area code, the exchanges that are effected, and for the new area code.
The procedure finds all member telephone numbers that match the current area code and exchanges, and changes the area code portion of the phone number for each.
Select the MASSAC option to make changes to area codes.

137.2 Prompts and Responses
The following sections describe the prompts displayed and responses
entered when you massively change area codes.
As you enter your criteria, your entries are displayed in the upper portion of the screen. If you need to go back to a previous prompt and make a change, continuously press <F2> until you are at the prompt you want to change.
Note: If you are a local affiliate user, the affiliate ID and name are displayed, and this prompt is skipped.

If a default affiliate ID is provided and it is correct, you can press [Enter] to accept the default. Otherwise, enter the appropriate affiliate ID.
The affiliate ID is required. The affiliate must be active, and exist in the affiliate file.

Enter the exchange number that you want to change the area code for.
Enter a list of exchange numbers separated by commas, if more than one exchange is effected. For example: 760,761,762,...
You are asked for the new area code. This is the new area code that phone numbers having the old/current area code and exchanges are to be changed to.

If "Yes", the area code is changed for all members whose area code and exchange match the entered criteria.
The procedure displays the number of member records checked, and the number of records that had the area code changed. For example:
