There are times when the General Office will be sending out messages to one or more affiliate users. These messages are called "instant messages".
When you log on to ULTRA, you will be notified of any new instant messages that have been sent to you. You are also notified of any new messages when you exit a menu item. If you do not read your new instant messages right away, you will be reminded that you have new unread messages.
6.1 New Instant Messages
If you have any new instant messages, the system will tell you how many
messages you have. The system will also display a menu of instant
message information which shows the date sent, topic, and who sent the
message. For example:

To read an instant message, just select that message.
If you do not want to read the message at this time, you can press <ESC> to exit the instant message procedure.
After you select the message that you want to read, the screen clears, and the message information is displayed. For example:

After you read the instant message, you are asked what you want to do with the message.

Select "Print", to print the message to the screen, your printer port, etc. The Output Options menu is displayed when "Print" is selected.
Select "Save", if you want to save the message, so that you can review it again at a later time.
Select "Delete" to delete the instant message.
Note: If a message is longer than can be displayed on one screen, you can select "Down" to display the rest of the message. Select "Up" to re-display the first part of the message.
When you have finished reading your new instant messages, you can press <ESC> to exit the instant message procedure.
6.2 Reading New/Saved Instant Messages
You can read new instant messages when you log on to ULTRA. If you want
to go back and read a "saved" instant message, you can select the
"READIM - Read Instant Message" menu option.

When READIM is selected, a menu of all of your new and saved messages is displayed. For example:

You can read any of the new or saved messages shown on the message menu by selecting the message.
After you select and read an instant message, you can print, save or delete the message.
When you have finished processing your instant messages, you can press <ESC> to exit the instant message procedure.
The NEWPASSWORD - Change Your Password menu option is used to change your password.

7.1 Change Password Input Screen
After NEWPASSWORD is selected from the menu, the change password input
screen is displayed.

7.1.1 Old Password
You are asked for your OLD password.

7.1.2 New Password

Enter your new password.
Note: For security reasons, your new password is NOT displayed on the screen. Your new password can NOT be the same as your old password.
The password can be from 6 to 20 characters in length.
The password should consist of numbers and letters.
7.1.3 Verify Password
You are asked to verify your new password.
Verify new password? ____________________ Type Your Password Again To Verify -- For Security, It Will Not Be Displayed |
Enter your new password again.
7.1.4 Proceed
You are asked if you want to proceed with changing your password.

Select "Yes" to proceed with changing your password.
Select "No" if you do not want to proceed with the password change.
Press <ESC> to abort this password change procedure.
If "Yes", your password is changed.
The KEYUSER - Key User Access menu option allows assigned KEY users to have access to member records from affiliates other than their own. For example, a key local user can become a council user, and have access to members in other locals in the council.
This menu option is used to enable and disable key user access.
Note: If your affiliate does NOT have a council, you can only work in your local, or one of the locals in your approved affiliate list. You can use the "CHGLOC - Change User Local" menu option to change to one of the other locals.

The following sections describe the prompts and responses displayed when you enable/disable key user access.
You are asked if you want to enable or disable key user access.

8.2.1 Enable Key User
This section describes the prompts displayed and resulting actions,
when you enable key user access.
After you select "Enable Key User", you are asked for your password.

The password is required.
Enter your password.
For security reasons, your password is NOT displayed on the screen.
If you only have access to some of the locals in the council, a menu of the locals you can access is displayed, and you are asked to select the local that you want to access (i.e. become a user for).

Select one of the locals from the menu.
If the selected local has branches, you are asked which branch that you want to access.

Select one of the branches from the menu.
After you select one of the locals and proceed, the 2nd heading line will display the name of the local that you are accessing. For example:

As you select and run menu items, the second heading line will continue to show that you are in "key user" mode and the local name and ID, until you disable key user access or log out of the UBC system.
You are asked if you want to proceed with the key user access enable procedure.

Select "Yes" to enable key user access.
Select "No" to return to the previous prompt.
Note: If "Yes" and your affiliate does NOT have a council, the following message is displayed. You can then press the [Enter] key to exit this procedure and return to the menu.
Your affiliate does not have a council. You may only work in your local or one in your approved affiliate list. Use "Change User Local" to change to one of the other locals. Press the RETURN key to continue |
If "Yes" and your affiliate DOES have a council, and you have access to all the locals in the council, you become a council user. Your screen heading is changed to display the words "KEY USER" and the council name and council affiliate ID on the second heading line. For example:

Press [Enter] to exit this procedure, and return to the menu as a council user.

8.2.2 Disable Key User
This section describes the prompts displayed and resulting actions,
when you disable key user access.
After you select the KEYUSER menu item, the following screen, which shows you as a "key user", is displayed, and you are asked for the access option.

Select the "Disable Key User" menu item to disable key user access.
You are asked if you want to proceed with the key user access disable procedure.

Select "No" to return to the previous prompt.
If "Yes", key user access is disabled, and you become a local user again, and your screen heading is changed back to your local affiliate name and ID. For example:
