The USERS - User Maintenance menu option provides you with the ability to maintain user accounts. This procedure allows you to specify which menu items or group of items that a user can access.
With this option, you can add, change, delete, inquire on, and list user account information. You can also reset passwords.

This chapter explains how to add, change, delete, inquire on, and list user account records.
9.1 Maintain Users Input Screen
After USERS is selected from the menu, the maintain users input screen
is displayed.

9.2 User Account Maintenance Options
After the user account maintenance input screen is displayed, you are
asked for the maintenance option you want to perform.

The following sections describe each of the user maintenance options.
9.2.1 Resetting User Passwords

Select the "Reset a User Password" menu option to reset a user's password so they can enter a new password.
The following sections describe the prompts displayed when a user password is reset.
You are asked how you want to locate/access the user's account record.

Select "User Name" if you want to access the user's record by entering the user name. If this option is selected, you will be asked for the user's first and last names.
Select "User ID" if you want to access the user's record by entering the user ID. If this option is selected, you will be asked for the user's ID.
After the user name or user ID is entered, the current data in the user record is displayed. For example:

You are asked if you want to reset this user's password.

Select "Yes" to actually reset this user's password.
Select "No" if you do NOT want to reset the password.
Press <ESC> to abort this reset procedure.
If "Yes", this user's password is reset, and they can enter a new password.
9.2.2 Maintain Multiple Affiliate Access

Select the "Maintain Multiple Affiliate Access" option if you only want to update the other affiliate access information.
After this option is selected, you are asked for the user name or ID. The user's account information is displayed, and you can then add, change, delete or inquire on other affiliate access data.
Refer to Section 9.2.5, Other Affiliates Access Entry for detail entry information.

Select the "Maintain Key User Affiliates" option if you only want to update the key user access information.
After this option is selected, you are asked for the user name or ID. The user's account information is displayed, and you can then add, change, delete or inquire on key user data.

9.2.4 Adding User Account Records

Select the "Add a User Account" option to add new user account records.
The following sections describe the prompts displayed when a user account record is added.
You are asked for the affiliate ID of the user.
ADD: User's affiliate ID? ________ |
The affiliate ID is required. The affiliate must be active, and exist in the affiliate file.
You can enter the affiliate number which is a number from 1 to 99999, or enter the entire affiliate ID.
After the affiliate ID is entered, the affiliate name is displayed.
You are asked for the first name of the user.

Enter the user's first name.
The first name can be up to 15 characters in length.
You are asked for the last name of the user.
ADD: Last name? _______________ Enter last name without special characters like ' |
Enter the user's last name using only alphabetical characters.
The last name can be up to 15 characters in length.
After the user's first and last names are entered, the procedure creates the user ID and displays it on the screen. For example:

If the affiliate has branches, you are asked for the branch ID.

Select the appropriate branch ID from the menu.
You are asked for the telephone number of the user.

Enter the user's telephone number.
Enter only digits. Do NOT enter dashes, spaces, etc. For example, if the phone number is "(520) 555-1234", enter "5205551234".
You are asked for the user's email address.

The email address can be up to 50 characters in length.
The email address is NOT required.
You are asked which systems the user is to have access to.

The user can have access to one or more systems.
Select the systems that the user can access.
Note: If the user can only access the CODS System, the entry procedure skips down to the CODS access prompt.
You are asked if this user is a UBC key user.

Select "No" if the user is NOT a key user.
If "Yes", you are asked if the user is a key user for the entire council.

Select "No" if the user is a key user for specific locals in the council.
If "No", at the end of this add procedure, you will be asked for the locals that this user is to be a key user for.
You are asked if this user is a UBC affiliate security user.

Select "Yes" if the user is a UBC security user.
Select "No" if the user is NOT a security user.
The "Override user" prompt is only displayed for General Office users.
Override user is automatically set to "No" for all other users.
You are asked if this user is authorized to change member sequence numbers on out of work lists.

You are asked if you want to automatically update the call in date when this user enters a member while they are in the "Out of Work Entry" procedure.
If "Yes", when this user runs the "Out of Work Entry" procedure and enters a member's name/ID, that member's call in date will automatically be updated to today's date.

Select "Yes" to automatically update the member's call in date when the user is in the "Out of Work Entry" procedure.
Select "No" if you do not want to automatically update call in dates.
The member ID is the SSN/SIN number; the UBC ID is the ULTRA assigned number.
The following prompts are used to determine if a user will have access to a member's SSN/SIN (member ID) as well as the UBC ID in specific procedures. The SSN/SIN access codes are:
GOOVER | denotes a General Office override user; they can always get both member ID (SSN/SIN) and UBC ID using "F8"; these users will also have access to several "restricted" General Office processes | |
FULL | user can use "F8" to display both the member ID (SSN/SIN) and UBC ID in Member Maintenance and Member Inquiry; the SSN/SIN numbers will be displayed in the Employer Dues Entry process; user will have Member SSN/SIN Change presented to them on their menu | |
READ | user can use "F8" to display both the member ID (SSN/SIN) and UBC ID in Member Inquiry and Member Maintenance | |
READREMIT | user can use "F8" to display both the member ID (SSN/SIN) and UBC ID in Member Inquiry and Member Maintenance; the SSN/SIN numbers will be displayed in the Employer Dues Entry process | |

First, you are asked if this user gets to see the SSN/SIN (member ID) displayed when they press "F8" while in member inquiry and member maintenance.

You are asked if this user has access to member SSN/SIN change.

Note: Currently, ULTRA allows a limit of users per local affiliate to have FULL access to SSN/SIN changes. Should you attempt to give FULL access to more than the allowed number of users, the following message is displayed.

Select "Yes" if the user has access to Member SSN/SIN Change.
Select "No" if the user does not have access to SSN/SIN change.
If "Yes", the user's SSN/SIN access is set to "FULL", and no other access prompts are displayed.
If "No", you are asked if this user does employer dues remit entry.
