Chapter 27
TIN - Transfer Member In

Members can be transferred out of one affiliate and into another affiliate.

Member transfer is a 2-step process - "transfer out" and "transfer in". This chapter describes the "transfer in" procedure, Chapter 26, TOUT - Transfer Member Out, describes the "transfer out" procedure.

Transfer In Requirements

The transfer in procedure checks for the following:

To transfer a member into an affiliate, select TIN from the menu.

27.1 Transfer In Screen

After you select TIN from the member processing menu, the "transfer member in" input screen is displayed.

27.2 Transfer In Prompts

The data entry prompts used for transferring a member into an affiliate are described in the following sections.

Unless specifically specified, you can enter data in upper, lower or mixed case.

To exit at any time, enter EXIT or press <ESC>.

To return to a previous prompt, press <F2>.

To get help for any menu item or input prompt, press <F1>.

27.2.1 Affiliate ID

Note: If you are a local affiliate user, the affiliate ID and name are displayed, and this prompt is skipped.

You are asked for the affiliate ID. This is the ID of the affiliate you are going to transfer members in to.



 Affiliate ID? ________ 

If a default affiliate ID is provided and it is correct, you can press [Enter] to accept the default.

You can enter the affiliate number which is a number from 1 to 99999, or enter the entire affiliate ID.

After the affiliate ID is entered, the affiliate name is displayed.

27.2.2 Member ID

You are asked for the member ID.

You can enter the member ID or the social security number/social insurance number.

If this is a US member, enter the social security number (SSN). If this is a Canada member, enter the social insurance number (SIN).

Enter only digits. Do NOT enter dashes or spaces.

After a member ID is entered, and if the member is eligible to be transferred in, the member data is displayed.

27.2.3 Correct Member to Transfer In Y/N

After the member data is displayed, you are asked if this is the correct member to transfer in.

Select "Yes" if this is the correct member to transfer. If "Yes", the transfer procedure continues.

Select "No" if this is NOT the correct member to transfer. If "No", you will be returned to the affiliate or member ID prompt.

27.2.4 Transfer In Effective Date

You are asked for the effective date of the transfer in.



 Transfer IN effective date (MMDDYYYY)? ________ 

Enter the effective date in MMDDYYYY format.

The date must be a valid date which is today or prior to today.

The date cannot be prior to the current status date - the date the member transferred out.

27.2.5 Changing Member Data

If you selected "Yes" at the "correct member to transfer in" prompt, and entered an effective date, various member data items are prompted and you can make changes to member data.

Note: If the member is class RETIRED, the dues code is not asked for, but is automatically set to 50ARETIRED.

27.2.6 Proceed with Transfer In Y/N

You are asked if you want to actually proceed with this transfer in.

Select "Yes" to transfer the member into the new affiliate.

Select "No" to return to the previous prompt.

Press <ESC> to abort this transfer.

If "Yes", the member is transferred in, and the following message is displayed:


                   Member transferred IN to affiliate UBCnnnnn 

Which Day Book

If you are NOT a local user, you are asked which day book the dues charges should be recorded in.

Select "Member's Local Day Book" to record the dues charge transactions in the day book of the local the member has transferred into.

Select "Council Day Book" to record the dues charge transactions in the council's day book.

Additional Phone Numbers, Alternate Contacts

You are asked if you want to enter any additional phone numbers or alternate contact information.

Select "Yes" if you do want to enter additional phone and/or contact information.

Select "No" if you have no phone or contact information to enter.

If "Yes", you are placed into the alternate contact maintenance process where you can enter additional phone and contact information.


Chapter 28
TRANFORM - Reprint Transfer Card

The TRANFORM - Reprint Transfer Card menu option is used by affiliates to reprint member transfer cards.

NOTE: A transfer card can be reprinted:

if the member is in TRANSFER status.
if the member has not yet transferred in to another local.
only by the local that the member transferred OUT of.

If the 30 days have elapsed and the member has been put back into their old local, you can transfer the member out again and print the transfer card at that time.

28.2 Reprint Transfer Card Prompts

The following sections describe each of the reprint transfer card input prompts.

Member Name/Member ID

You are asked for the name or ID of the member that you are reprinting the transfer card for.

Enter the member name or member ID.

Proceed

You are asked if you want to proceed with reprinting the transfer card for this member.

Select "Yes" to create the transfer card.

Select "No" to return to the member name/ID prompt.

Press <ESC> to abort this procedure and return to the menu.

If "Yes", the transfer card is created, and it can be printed.

Chapter 29
BRING_JATC - Bring Pending JATC to Member

To bring pending JATC apprentices to UBCJA membership, select the BRING_JATC menu option.

A new record is added to the MEMBER file after data entry is completed.

This chapter describes the procedure to bring pending JATC apprentices to UBCJA membership.

29.2 Entry Prompts and Responses

The data entry prompts used for bringing pending JATC apprentices to membership are explained in detail in the following sections.

29.2.1 Affiliate ID

Note: If you are a local affiliate user, the affiliate ID and name are displayed, and this prompt is skipped.

You are asked for the affiliate ID. The affiliate ID is required.



 Affiliate ID? ________ 

The affiliate must be an active affiliate, and must exist in the affiliate file.

You can enter the affiliate number which is a number from 1 to 99999, or enter the entire affiliate ID.

After the affiliate ID is entered, the affiliate name is displayed.

29.2.2 Branch ID

If the affiliate has branches, you are asked for the branch ID.

29.2.3 Pending Apprentice

You are asked for the UBC ID or SSN/SIN or name of the pending apprentice.

Enter the UBC ID or SSN/SIN or name of the pending apprentice.

If the pending apprentice is not in your council, the following message is displayed:



        This JATC Pending is outside your council.  He is pending from 
         council nnnn and cannot be moved to a local in your council. 
                        Press the RETURN key to continue 

Press [Enter] to return to the pending apprentice or branch prompt.

If the pending apprentice record has been flagged as "DELETED", the following message is displayed:



          This record was deleted from pending apprenticeship by JATC 
           XXXXXXXXXX.  Cannot be moved from pending to membership. 
                        Press the RETURN key to continue 

Press [Enter] to return to the pending apprentice or branch prompt.

If the pending apprentice record has been flagged as "MOVEDMBR", the following message is displayed:



           This record was already moved from pending apprenticship 
                       to UBC membership on 12/16/2003. 
                        Press the RETURN key to continue 

Press [Enter] to return to the pending apprentice or branch prompt.

If the member ID of the entered pending JATC apprentice is found in the member file, the following message is displayed:



           There is already a record in the MEMBER file for this ID. 
                        Press the RETURN key to continue 

Press [Enter] to return to the pending apprentice or branch prompt.

Correct Pending Apprentice

Information for the pending apprentice is displayed, and you are asked if this is the correct person to move to membership.

Select "Yes" if this is the correct pending apprentice and you want to continue.

Select "No" if this is not the correct pending apprentice.

29.2.4 SSN/SIN

You are asked for the social security number or social insurance number.

If this is a US member, enter the social security number (SSN).

If this is a Canada member, enter the social insurance number (SIN).

Enter only digits. Do NOT enter dashes or spaces.

If you do not know the SSN/SIN, you can have the system generate a number by entering the word "GENERATE".

SSN/SIN not found in Member File

If the SSN/SIN is generated or it is NOT found in the member file, you can continue entering the information to bring this pending JATC person to membership.

SSN/SIN found in Member File and Member is Active

If the entered SSN/SIN already belongs to an ACTIVE member in the member file, some information on the active member is displayed, and you are asked what you want to do.
