The AFFROSTER - Member Roster with Address menu option creates a member roster which shows the member ID, name, address, telephone number, class code and dues code. You can optionally include alternate telephone and cell phone numbers.

You determine which members to include on the report by specifying various criteria. The selection criteria options are:

active members/non-members
status
classification
craft
dues code
address change
zip/postal code selection

You can select one or more options depending on the members you want to include on the roster. The roster can be sorted by last name, zip/postal code, class code or dues code.

This chapter explains how to create member rosters.

Select the AFFROSTER menu item to create member address rosters.

54.1 Member Roster Input Screen

When the ROSTER menu option is selected, the following screen is displayed:

54.2 Prompts and Responses

The following sections describe the prompts displayed when you create member rosters.

As you select your roster criteria, your selections are displayed in the upper portion of the screen. If you need to go back to a previous option and make a change, continuously press <F2> until you are at the prompt you want to change.

Affiliate ID

You are asked for the affiliate ID.

Note: If you are a local affiliate user, the affiliate ID and name are displayed, and this prompt is skipped.



 Affiliate ID? ________ 

If a default affiliate ID is provided and it is correct, you can press [Enter] to accept the default. Otherwise, enter the appropriate affiliate ID.

Note: If a council affiliate ID is entered, the report will include all the locals in the council.

The affiliate ID is required. The affiliate must be active, and exist in the affiliate file. You can enter the affiliate number which is a number from 1 to 99999, or you can enter the full affiliate ID.

After the affiliate ID is entered, the affiliate name is displayed.

Membership

You are asked if you want to include active members and/or active non-members on the roster.

Select the appropriate item from the membership menu options.

Status Codes

A list of status codes is displayed, and you are asked for the status codes you want to include on the roster.

You can select one, several or all codes.

Select "all" to include all status codes on the roster.

To select one or more status codes, select each code you want from the list of codes - one at a time. As each code is selected, it is displayed in the top portion of the screen.

Should you wish to remove one or more of the selected codes, you can use the "Remove Status Code" option to remove the codes.

Select "accept current default" when you are done selecting and removing status codes.

Use the "reset" option to erase the current selections and start over.

Classification Codes

A list of classification codes is displayed, and you are asked for the codes to include on the roster.

Select "all" to include all classification codes on the roster, or select the specific codes you want to include.

Your selections are displayed in the top portion of the screen.

Craft Codes

A list of craft codes is displayed, and you are asked for the craft codes to include.

Dues Codes

A list of dues codes is displayed, and you are asked for the dues codes to include.

Address Change

You are asked if you want to include only members who have had an address change.

Select "Yes" to include members who have had an address change.

Select "No" to include all members regardless of address changes.

If "Yes", you will be asked for the date range of the address changes.

Address Change Date Range

You can include address changes that were made in a specific time period. You specify the start and end dates of the time period.

First, you are asked for the beginning date of the date range.



 Address change begin date (MMDDYYYY)? FIRST___ 

Enter "FIRST" to start with the oldest date.

Enter the start date in MMDDYYYY format.

Next, you are asked for the ending date of the date range.



 Address change end date (MMDDYYYY)? LAST____ 

Enter "LAST" to end with the most current date.

Enter the end date in MMDDYYYY format.

Zip/Postal Code Selection

You are asked which zip/postal codes you want to include on the roster.



 Zip/Postal code? ALL_________________________________________________________ 
 
           Enter ALL, a single code, or a comma-separated list of codes 

Enter "ALL" to include all zip/postal codes.

Enter a zip code or postal code to include members who have that code.

If you want to include several zip/postal codes, enter a list of codes separated by commas. For example: 85710,85711,85719,85722

Alternate Phone Numbers

You are asked if you want to include alternate telephone and cell phone numbers on the roster.

Select "Yes" if you do want to include telephone and cell phone information.

Select "No" if you do not want to include alternate phone information.

Sort Order

You are asked how you want to sort the selected roster data.

Select one of the sort options from the menu.

Note: The "Member Local" option is not displayed for local users.

Output Options

You are asked for the output option --- report or labels.

Select "Report" to create a report.

Select "Labels" to create member labels.

Select "finished with outputs" to exit this procedure.

Proceed with Report

If you selected the "Report" output option, you are asked if you want to proceed with roster creation.

Select "Yes" to proceed with roster generation.

Select "No" to go back to the previous prompt.

Press <ESC> to abort this roster procedure.

If "Yes" the address roster is created.

Creating Labels

If you are creating labels, you are asked if you want to print the member's local number on the labels.

Select "Yes" to print the member's local number on the labels.

Select "No" if you do not want to print the local number on the labels.

Label Type

You are asked for the type of labels you want to create.

Proceed with Creating Labels

You are asked if you want to proceed with creating the labels.

Select "No" to go back to the previous prompt.

If "Yes", the member labels are created.
