CONTEXPORT - Create Contractor Export File

The CONTEXPORT - Create Contractor Export File menu option is used to create a comma-delimited export file of contractor information, which can be downloaded to your PC.

The contractor export file records contain (for each contractor) the contractor ID, name, address, etc. and a list of contracts.

Only contractors for active affiliates are included. You can select contractors by status (active, inactive, all).

To create a contractor export file, select the CONTEXPORT menu option.

85.1 Creating Contractor Export Files

Contractor export files can be created for a local or a council. The following sections describe how to create local and council export files.

85.1.1 Creating a Contractor Export File for a Local

A local's contractor export file will contain only contractors which belong to the local.

When the CONTEXPORT menu option is selected, the following screen is displayed:

Status

You are asked if you only want to include active contractors.

Select "Active" to only include active contractors.

Select "Inactive" to only include inactive contractors.

Select "All" to include all contractors regardless of their status.

Export File ID

You are asked for the export file ID. A default ID is provided.

The actual output file name is CONTRACTOR_xxxxx.TXT. xxxxx is the unique ID, the part of the file name that you provide. For example, the full file name could be CONTRACTOR_19990526.TXT or CONTRACTOR_LOCAL1444.TXT or CONTRACTOR_0526_LOCAL1444.TXT.

     The ID makes the file name unique - Please use only letters and numbers 

Press [Enter] to accept the default output file ID.

Enter the unique ID you want to give to the output file.

The ID can be up to 15 characters in length.

You can use letters, numbers, the underscore character (_), and the dash (-).

After you enter the ID, the full export file name is displayed.

Proceed

You are asked if you want to proceed with creating the contractor export file.

Select "Yes" to proceed with the export file creation procedure.

Select "No" to go back to the export file ID prompt.

Press <ESC> to abort this procedure.

If "Yes", the contractor export file generation process is started. If no contractor data is found, a message is displayed.

As the export file is being created, processing messages are displayed.

85.1.2 Creating a Contractor Export File for a Council

When the CONTEXPORT menu option is selected, the following screen is displayed:

Contractor Selection

Select "Only Council Contractors" to include contractors which belong to the council.

Select "All Local and Council contractors" to include contractors for all the locals in the council and the council's contractors.

85.2 Export File Contents

The following information is included in a contractor export file record:
contractor ID/short name
full contractor name
address
city
state/province
zip/postal code
telephone number
alternate telephone number
FAX number
contact name
contact title
federal employer ID
unemployment compensation number
workman's compensation policy number
workman's compensation carrier
bonded by company name
date bonding expires
minority type
business type
affiliate ID of the contractor
assessment/checkoff dues type
one or more contract IDs (if contractor is under any contracts)

The first record in the output export file is a header record which contains a comma-separated string of field IDs, exactly like the following:


    "ID short name","Name","Address","City","State","Zip","Phone Number",

    "Federal Employee ID","Unemployment comp number","Workcomp policy",

Downloading a PC Export File

After you have created the PC export file, you can download the file to your PC.

OOWEXPORT - Export Out of Work Lists

The OOWEXPORT - Export Out of Work Lists menu option is used to create a comma-delimited file of members on out of work lists, which can be downloaded to your PC.

The out of work lists export file records contain (for each member) the member ID, name, out of work list name and number, etc. A list of the member's skill codes can optionally be included.

This chapter describes how to create out of work list export files.

To create out of work list export files, select the OOWEXPORT menu item.

86.1 Out of Work Export Input Screen

After you select OOWEXPORT from the menu, the out of work list export input screen is displayed.

86.2 Selecting Data - the Prompts

This section describes the prompts displayed when you create an out of work list export file.

Affiliate ID

Note: If you are a local affiliate user, the affiliate ID and name are displayed, and this prompt is skipped.


 Affiliate ID? ________ 

If a default affiliate ID is provided and it is correct, you can press [Enter] to accept the default. Otherwise, enter the appropriate affiliate ID.

The affiliate ID is required. The affiliate must be active, and exist in the affiliate file.

You can enter the affiliate number which is a number from 1 to 99999, or you can enter the entire affiliate ID.

After the affiliate ID is entered, the affiliate name is displayed.

Out of Work List Selection

A menu of the out of work lists is displayed, and you are asked which work lists you want to include in the export file.

You can select one, several or all of the out of work lists on the menu.

Select "all" to include all of the out of work lists.

Select one or more of the work lists.

Note: As you enter responses, your selections are displayed in the upper portion of the screen. If you need to go back to a previous prompt and make a change, continuously press <F2> until you are at the prompt you want to change.

Export File Data

You are asked if you want to include member skill codes in the export file, or just the out of work list information.

Select "Out of Work Info Only" if you only want to include the out of work list information.

Select "Out of Work Info and Member Skills" to include the out of work list information AND each member's skill codes.

The actual output file name is OUT_OF_WORK_xxxxx.TXT. xxxxx is the ID, the part of the file name that you provide. For example, the full file name could be OUT_OF_WORK_20021024.TXT or OUT_OF_WORK_LOCAL1444.TXT or OUT_OF_WORK_1024_LOC1444.TXT.

As the export file is being created, processing messages are displayed.

86.3 Export File Contents

For each selected member on the out of work list, the following information is included in the export file record:
affiliate ID
branch ID if the affiliate has branches
out of work list code
member ID
member last name
member first name
member middle name
member suffix
member's number on the out of work list
date the member was added to the work list
date the member last called in
date the member was last called
result of the last call
number of refusals
date member accepted or was referred to a job
start date of the accepted/referred job
date to start accumulating number of work days
number of accumulated work days
"Y" = traveler
telephone number
list of member skill codes (optional)

The first record in the output export file is a header record which contains a comma-separated string of field IDs, exactly like the following:
