Preface

The Advanced Telesales System (ATS) is a unique program designed to enable the salesperson, manager and/or operator to successfully meet the challenge of maintaining prospect account records. All with a minimum of effort! The efficiency of ATS and its powerful procedures allows the salesperson to focus on achieving the main goal -- sales.

Purpose of This Document

This document serves as an introduction to ATS. It describes in detail the procedures used to maintain account records. It provides examples and screens showing how to add, change, inquire about and delete account records.

Intended Audience

This document is intended for Sales Staff, Managers and Operators who need an easy, streamlined procedure to maintain their account records. ATS is designed for casual users. All that is required is a general background in entering data on a VAX computer.


Chapter 1
OVERVIEW OF ATS

1.1 Overview

The most experienced salesperson can find processing sales information on a daily basis a challenge---even overwhelming! The Advanced Telesales System's unique features provide you with the means to instantly, easily and efficiently maintain your prospect account records with a minimum of effort.

ATS Helps you Pursue your Sales Objectives

Some of the unique ATS procedures that allow you to pursue your sales objectives are listed below. ATS helps you to:

1.2 Access a List of Prospects who are Next to be Called on a Certain Date

Consider the time it takes you to answer many individual messages on your voice mail, for example. First, you write down all the messages, and then you call each person. This is time-consuming.

ATS automatically gives you a daily list of prospects to call! Suppose you use the CALL feature to call the first prospect on the list. When you have finished, ATS automatically brings up the next prospect without your having to refer to any written notes or search through your files. ATS knows which prospects to include in your calling list, because you have already entered a callback date in your previous comments.

In addition, information you see is systematically ordered in detail for each account record, e.g., organization name, contact person, address, etc. Also provided is precise information on literature you have sent to a prospect, comments you have made, and a date for follow up.

1.3 Access Detailed Information on an Individual Prospect

You can access a single prospect by company name, phone number, contact name, or customer number.

1.4 Track Your Progress on Calls

You may make so many calls during the day, or get interrupted, that you are not sure of the progress you have made on your calls. ATS can reassure you that in many cases, you have made even more calls than you thought! ATS gives you the exact number of calls you made.

ATS allows you to keep track of your progress made during the day. For example, you can receive a detailed report on the number of calls you made and the number of prospects you actually reached. The system enables you to print these reports at any time.

1.5 Alter Information

You can make changes in account records. You can add, change, delete, and inquire about information.

1.6 Resume Calling a Prospect

You can be automatically returned to calling a list of prospects after you have been interrupted.

1.7 Send a Daily Status Report

This report allows you to send a detailed report to management on the status of your calls. The report gives a breakdown of your day's progress, e.g., number of positive responses, etc. By entering the word "note" next to a comment to which you want to draw management's attention, management is automatically copied in this daily status report.

1.8 Print Detailed Reports on Prospects

For example, you can print a report of prospects next to be called on a certain date, current, past or future. You can print out reports on some or on all categories. Categories include product name; reports between certain dates; reports according to certain information sent to the prospect, etc. These reports alert you to the status of each prospect.
