XREFEXPORT - Cross Reference Export

The XREFEXPORT - Cross Reference Export menu option is used to create an export file of member SSN/SIN numbers cross referenced with UBC ID numbers.

Select XREFEXPORT to create ID cross reference export files.

Note: The Cross Reference Export menu option can only be run by security users.

When the XREFEXPORT menu option is selected, the following screen is displayed:

88.2 Prompts and Responses

The following sections describe the prompts displayed when you create cross reference export files.

Affiliates to Include

If you are a council user, you are asked which affiliates in your council that you want to include. The default is "all" local affiliates.

   Enter "ALL" for all locals in the council or Local IDs separated by commas 

Press [Enter] to select "all" local affiliates.

Enter a single affiliate ID, or enter a list of affiliate IDs separated by commas. Press the "DO" key when you are finished entering IDs. For example: 111,222,333

If a council ID is entered, all locals in the council will be included.

File Type

You are asked if you want to include all members, or only those members who were added, re-initiated or transferred in since you last created the export file.

Select "Full File" to include all members.

Select "Update File" to only include new/updated members processed since you created the last export file.

If you select "Full File", you will be prompted for more information about which members to include.

Zip/Postal Codes

You are asked which zip codes or postal codes that you want to include. The default is "all" codes.

Press [Enter] to select "all" zip or postal codes.

Enter a single zip/postal code, or enter a list of codes separated by commas. Press the "DO" key when you are finished entering codes.

Active/Inactive Members

You are asked if you want to include active and/or inactive members.

Select "All" to include all members.

Select "Active" to include only the active members.

Select "Inactive" to include only the inactive members.

Export File Name

You are asked for the name of the export file that is to be created.

Enter the name that you want to give to this export file.

Enter only letters, numbers, hyphens, or underscore characters.

Proceed

You are asked if you want to proceed with creating the export file.

Select "Yes" to create the export file.

Select "No" to return to the previous prompt.

If "Yes", the export file is created.

After the export file is created, the following message is displayed:

        Use Web Browser to Save to Your PC from the UBCJA.ORG Web Page 
        (File Name Will be Listed Under "Your Personal Download Files") 
 
                        Press the RETURN key to continue 

Press [Enter] to return to the first prompt.

EXPEMAIL - Export Member Email Addresses

The EXPEMAIL - Export Member Email Addresses menu option is used by affiliates to create an export file of email addresses for members. The export file contains the last name, first name and email address for each selected member. The members are selected by parameter entry. After the export file is created, it can be downloaded to the user's PC.

This chapter explains how to select members and create an export file of member email addresses.

After EXPEMAIL is selected from the menu, the export member email addresses input screen is displayed.

89.2 Prompts and Responses

The following sections describe the prompts displayed when you are selecting data and creating an export file of member email addresses.

As you enter your responses, your selections are displayed in the upper portion of the screen.

Affiliate ID

You are asked for the affiliate ID.

Note: If you are a local affiliate user, the affiliate ID and name are displayed, and this prompt is skipped.

          Enter a single ID, or a comma separated list of IDs, or "All" 

You can report on one, several or all affiliate IDs.

To report on a single affiliate, enter an affiliate number - a number from 1 to 99999, or enter the complete affilite ID - i.e. UBC00123.

To report on all affiliates, enter "ALL".

To report on several affiliates, enter the affiliate numbers or complete affiliate IDs separated by commas. For example:

Class Codes

You are asked for the class codes you want to include.

Name Selection

You can select specific member names by entering a range of letters. For example, you might want to select only members whose last names start with "B" thru "CAR".

First, you are asked for the letter(s) of the last name that you want to start with.

Press [Enter] to accept the default of "A".

Enter the start letter(s).

You can enter up to 15 letters of the last name.

Next, you are asked for the letter(s) of the last name that you want to end with.

       Enter the letter(s) that the LAST last name selected can start with 

Press [Enter] to accept the default of "Z".

Enter the end letter(s).

You can enter up to 15 letters of the last name.

Craft Codes

You are asked for the craft codes you want to include.

Initiation Date Range

You can select members by initiation date range.

First, you are asked for the beginning date of the date range.

Press [Enter] to accept the default of "First" or enter "first" to start with the oldest initiation date.

Enter a beginning date in MMDDYYYY format.

Next, you are asked for the ending date in the initiation date range.



 End of initiation date range (MMDDYYYY)? Last____ 

Press [Enter] to accept the default of "Last" or enter "last" to end with the latest initiation date.

Enter an ending date in MMDDYYYY format.

Birthday Month

You are asked if you want to select members who are having a birthday in a specific month.

Select "all" to include all members regardless of when their birthday is.

You are asked to select members according to their E-Newsletter preference.

Export File ID

You are asked for the name of the export file.

     The ID makes the file name unique - Please use only letters and numbers 

Press [Enter] to accept the default export file ID which is today's date. If this is accepted, the ID will be:



 Export File ID: EMAIL_EXPORT_20080814.TXT 

If you do not accept the default, enter an ID made up of letters and/or numbers.

Proceed

You are asked if you want to proceed with creating the member email address export file.

Select "Yes" to generate the export file.

Select "No" to return to the previous prompt.

Press <ESC> to abort this procedure.

If "Yes", the member email address export file is generated.

After the export file is created, the following messages are displayed:

                        Press the RETURN key to continue
